"How much does a mystery shopping visit cost in Italy?" is one of the first questions international buyers ask, and the honest answer is that it depends — not as a way to avoid the question, but because a visit is not a standard unit. Two quotes for "100 visits in Italy" can describe very different programmes. This article lists the factors that actually move the price, so you can read quotes correctly and write a brief that produces comparable ones.
The type of visit
A short in-store visit with a dozen observations is a different job from a long advisory interaction in a luxury boutique, a car dealership test drive, or a visit that combines a phone call, an email enquiry and a follow-up in store. The longer and more complex the scenario, the more experienced the shopper has to be and the longer the report takes to write and validate. Mystery calls and online checks have their own cost structure again.
Where the stores are
Geography is the factor most often underestimated in Italy. Stores in large cities are easy to cover from the existing panel. Stores in small towns, islands or mountain areas may require a shopper to travel, and travel time and expenses enter the price. A network spread across the whole country costs more per visit than the same number of visits concentrated in a few metropolitan areas — and is also the one that most needs a partner with real national coverage.
The shopper profile
If the scenario requires a specific profile — a certain age, a family with children, a business customer, an owner of a particular car — recruitment takes longer and the pool of suitable shoppers is smaller. The more precise the profile, the more it weighs on cost and on timing.
Purchases, returns and proof
Visits that include a purchase add the value of the goods to the budget, unless the goods are returned. Returns, refunds and proof of purchase add steps to manage. For product categories where a purchase is expensive, it is worth discussing alternatives that measure the same moment of truth.
Audio, video and evidence
Some programmes require audio or video recordings, photos of the display or receipts. These add equipment, consent and data-protection requirements, which in Italy fall under the GDPR and the supervision of the Garante. They also add review time. The rules are covered in GDPR-compliant market research in Italy.
Waves and continuity
A one-off wave carries all the set-up costs: questionnaire design, scenario, training, pilot. A recurring programme spreads those costs over every wave, and shoppers and validators already know the brand. That is why the cost per visit of an ongoing programme is usually lower than that of a single study of the same size.
Questionnaire length and validation
Each additional question costs shopper time and validation time. Long questionnaires also reduce data quality, because shoppers remember less of a long interaction than of a short one. A focused questionnaire built around the KPIs that matter, as described in mystery shopping KPIs and reporting, is often both cheaper and more reliable.
Reporting and language
Raw data in your template, a dashboard, a finished report or a presentation to the board are different deliverables. For international clients there is also translation: open comments written in Italian need to be validated and translated before they are useful to a team abroad.
How to brief for comparable quotes
If you are comparing providers, send each of them the same information:
- the list of stores with addresses, or at least the cities;
- the visit type and an outline of the scenario;
- the shopper profile;
- whether visits include a purchase, and what happens to the goods;
- recordings or photos required, if any;
- the number of waves and the period;
- the questionnaire, or its approximate length;
- the deliverable you expect and the language.
With these points, quotes become comparable and differences in price start to mean differences in service.
